Job Description

Job Title:        Accounts Payable

Reports To:   Accounts Payable Supervisor


Summary: Records, verifies, and maintains accounts payable information by performing the following duties.

Essential Duties and Responsibilities include of the following. Other duties may be assigned.


Accounts Payable

  • Audit invoices against purchase orders, research discrepancies, and approve for payment
  • Complete the matching and coding process for all direct expense invoices and entering indirect expense items in the computer system
  • Resolve supplier accounts payable related inquiries
  • Review and reconcile expense reports and company credit cards
  • Review and reconcile Property and Equipment records and maintain depreciation schedules
  • Enter and track vendor credits
  • Review company cell phone and travel bills

General Accounting

  • Prepare various financial reports using Excel 
  • Prepare month-end journal entries and reconcile various general ledger accounts
  • Assist in monthly and annual closings
  • Work with the Accounting and AP Department staff to investigate, correct, and follow up on any inaccuracies identified
  • Provide support to Accounting and AP Department staff as requested

Accounts Receivable

  • Utilize customer service skills to contact customers regarding open invoices and payment status via fax, email and telephone.
  • Work closely with various branch locations to investigate and resolve accounts receivable discrepancies.
  • Record daily bank deposits, ACH payments and credit card transactions.

Maintain Professionalism

  • Project a professional and courteous demeanor when communicating with supervisors, co-workers, customers and vendors

Education and Experience: No accounts payable or accounting experience necessary but preferred. Proficient in Microsoft Excel required. Experience with Microsoft Word and Outlook preferred. High school diploma or general education degree (GED) required. Associates or Bachelor's degree strongly preferred.
